TopRak ERP

Overview

Toprak is an end-to-end trading and operations platform designed for businesses that buy, sell, and manage physical goods. It brings together inventory management, buying and selling workflows, cash handling, accounting, analytics, and risk tracking into a single system. Built for real-world commerce, Toprak helps teams operate with clarity even when dealing with partial deliveries, quality disputes, credit cycles, and perishable inventory.

Approach

Driven by a systems-first and workflow-driven design approach. I began by identifying key user roles involved in daily operations, including buyers, sellers, stock managers, cashiers, accountants, and operations staff. Each role was mapped to its own set of responsibilities, constraints, and decision points.

I then designed role-specific user flows that reflected how work actually happens on the ground rather than idealized ERP processes. The platform was structured around action-oriented dashboards, clear state tracking, and minimal friction for high-frequency tasks. Visual consistency and predictable interaction patterns were maintained across modules to ensure usability at scale, even with complex workflows.

Case Study

Role

Product Designer (Solo)

Overview

Toprak is a unified operations platform that blends inventory management, trade workflows, payments, accounting, and analytics, while integrating AI-assisted actions and real-time communication. The goal was to simplify complex, multi-party trading operations into a coherent system that supports speed, accountability, and informed decision-making.

Problem

Most inventory and trading systems assume perfect data and linear workflows. In reality, businesses deal with delayed shipments, mismatched quantities, poor quality stock, cash payments, credit notes, cancellations, and lost inventory. Teams often rely on fragmented tools, manual tracking, and tribal knowledge, leading to errors, delays, and poor visibility into profitability and risk.

Solution

I designed Toprak to address these challenges by:

  • Creating role-based dashboards with button-driven access to core workflows

  • Building inventory as a quantity and quality-driven system rather than a static product list

  • Supporting real-world scenarios such as partial deliveries, negotiated pricing, returns, spoilage, and stock loss

  • Introducing cashiering flows for handling actual cash, card, and credit payments separately from accounting

  • Providing analytics for sales performance, client profitability, buyer efficiency, and daily revenue tracking

  • Integrating chat and AI features to assist with order creation, acceptance, and operational decisions

My Approach

Research
Identified operational pain points across buyers, sellers, stock managers, and finance teams, focusing on breakdowns caused by manual processes and disconnected systems.

User Flows
Defined end-to-end flows for buying, selling, inventory intake, quality handling, payments, and returns, ensuring each role had clarity and ownership.

Wireframes to UI
Translated complex workflows into clean, modular screens with a focus on speed, readability, and error prevention.

System Design
Designed flexible data states to handle exceptions such as poor quality stock, credit notes, unpaid balances, and lost inventory without breaking the core flow.

Key Features

  • Centralized inventory with quality and pricing variations

  • Buying and selling workflows with real-time order tracking

  • Dedicated stock manager flows for receiving, validating, and correcting inventory

  • Cashiering and accounting modules with clear separation of concerns

  • Analytics dashboards for performance, risk, and profitability

  • Chat and AI-assisted actions for faster execution and visibility

Outcome

Toprak transformed fragmented trading operations into a single, structured platform capable of handling real-world complexity. The design enables teams to operate faster, reduce errors, maintain financial clarity, and scale operations without losing control over inventory, cash flow, or accountability.
